{"id":30442,"date":"2021-01-13T07:15:13","date_gmt":"2021-01-13T06:15:13","guid":{"rendered":"https:\/\/smartfense.com\/sin-categorizar\/buenas-practicas-en-la-creacion-de-campanas-de-concientizacion\/"},"modified":"2024-10-02T11:17:10","modified_gmt":"2024-10-02T09:17:10","slug":"best-practices-in-the-creation-of-awareness-campaigns","status":"publish","type":"post","link":"https:\/\/smartfense.com\/en\/blog\/best-practices-in-the-creation-of-awareness-campaigns\/","title":{"rendered":"Best practices in the creation of awareness campaigns"},"content":{"rendered":"<p>When planning our awareness campaigns, it is advisable to take into account a series of best practices in order to create a relevant experience for the end user.<\/p>\n<h1>What is an awareness campaign?<\/h1>\n<p>We define an awareness campaign as a specific educational or reinforcement action using <a href=\"https:\/\/smartfense.com\/en\/platform\/\" rel=\"noopener\">Interactive Modules, Newsletters, Quizzes, Surveys, Videos or Educational Moments<\/a>, which aims to achieve a change of habits in the organization&#8217;s end users.<\/p>\n<h2>Start date<\/h2>\n<p class=\"c1\">The end user must perform a myriad of activities in their workday, with awareness campaigns being <span class=\"c0\">one more voice competing for their attention<\/span><span class=\"c2\">. In addition, each campaign assigned to an end user means at least one email in his inbox and the responsibility to complete reading it.<\/span><\/p>\n<p class=\"c3\">That is why <span class=\"c0\"><strong>it is recommended to distribute in time<\/strong><\/span><span class=\"c2\"> the desired campaigns. This implies selecting different start dates for each one and avoiding that a user has more than one campaign assigned at the same time.<\/span><\/p>\n<p class=\"c3\"><span class=\"c2\">If several campaigns are set up with the same start and end date, the end user will find himself with a lot of work ahead of him (which can be demotivating), and therefore, we run the risk of him dismissing these activities.<\/span><\/p>\n<h2>Duration<\/h2>\n<p>The <span class=\"c0\"><strong>ideal duration <\/strong><\/span>of each awareness campaign assigned to an end user is<span class=\"c0\"><strong> 1 to 3 weeks<\/strong><\/span><span class=\"c2\">.<\/span>A<strong> shorter <\/strong> duration<span class=\"c0\"><strong>leaves no room for the person to plan<\/strong><\/span> the best time to review the assigned content. In addition, campaigns collect statistics only while they are in force, so in a campaign with a very short duration <span class=\"c0\"><strong>we can lose valuable information<\/strong><\/span><span class=\"c2\">.<\/span>A duration longer than 3 weeks can lead to the opposite situation, where the end user relaxes too much and <span class=\"c0\"><strong>forgets to read the content<\/strong><\/span>.<\/p>\n<h2>Notifications<\/h2>\n<p>It is recommended to<span class=\"c0\"><strong> always notify users <\/strong><\/span>about those campaigns to which they are assigned, both at the beginning and throughout the period in which they are active,<strong> through <\/strong><span class=\"c0\"><strong>specific reminders<\/strong>.<\/span><\/p>\n<p class=\"c3\">In addition, customizing notifications to <span class=\"c0\"><strong>adapt them to the organization&#8217;s image and internal standards <\/strong><\/span><span class=\"c2\">is a good practice so that the user sees the awareness program as an integral part of the organization&#8217;s communications and actions.<\/span><\/p>\n<h2>Test campaigns<\/h2>\n<p class=\"c3\">E-mail is the primary means of communication between the awareness program and the end user. Therefore, we must ensure that messages are <span class=\"c0\"><strong>always received in their inbox<\/strong><\/span><span class=\"c2\">. It is recommended to follow a whitelisting implementation process so that the platform used coexists in a friendly way with the organization&#8217;s security tools.<\/span><\/p>\n<p class=\"c3\">Before launching a real campaign within the organization, <span class=\"c0\"><strong>it is advisable to schedule test campaigns<\/strong><\/span>. This will allow us to ensure that users receive the relevant notifications correctly and can perform the entire life cycle of each campaign without any inconvenience.<\/p>\n<h2>Awareness period<\/h2>\n<p class=\"c3\">When thinking about an awareness strategy, it is advisable to<span class=\"c0\"> <strong>plan campaigns for periods of <\/strong><\/span><span class=\"c0\"><strong>six months to a year<\/strong><\/span>. Such an extension allows us to clearly organize in time the different types of campaigns we wish to assign to end users.<\/p>\n<h2>Number of campaigns in a year<\/h2>\n<p class=\"c3\">Each year, <span class=\"c0\"><strong>users should receive a moderate number of campaigns<\/strong><\/span>, so that they find the awareness actions an added value and not a nuisance or a waste of time<span class=\"c2\">.<\/span><\/p>\n<p class=\"c3\"><span class=\"c2\">To determine the ideal number of campaigns to send, it should be taken into account that Interactive Modules, Surveys and Quizzes campaigns usually involve more time for the end user than Videos or Newsletters.<\/span><\/p>\n<p class=\"c3\"><span class=\"c2\">With this in mind, the general recommendations are:<\/span><\/p>\n<h3>First year<\/h3>\n<ul class=\"c8 lst-kix_lxg4raacptle-0 start\">\n<li class=\"c3 c7 li-bullet-0\"><span class=\"c2\">1 monthly Interactive Module.<\/span><\/li>\n<li class=\"c3 c7 li-bullet-0\"><span class=\"c2\">2 monthly Newsletters or Videos.<\/span><\/li>\n<li class=\"c3 c7 li-bullet-0\"><span class=\"c2\">A bimonthly Test or Survey.<\/span><\/li>\n<\/ul>\n<h3>Second year<\/h3>\n<ul class=\"c8 lst-kix_ghupaxg9xwis-0 start\">\n<li class=\"c3 c7 li-bullet-0\"><span class=\"c2\">Make adjustments to programming based on feedback from end users during the first period, and on reports and analytics provided by the integrator partner.<\/span><\/li>\n<li class=\"c3 c7 li-bullet-0\"><span class=\"c2\">Change the order and topics of training and awareness campaigns.<\/span><\/li>\n<li class=\"c3 c7 li-bullet-0\"><span class=\"c2\">Send specific campaigns to users who did not meet the objectives of the previous period.<\/span><\/li>\n<\/ul>\n<h3>Next years<\/h3>\n<ul class=\"c8 lst-kix_6557ig8i7r1z-0 start\">\n<li class=\"c3 c7 li-bullet-0\"><span class=\"c2\">Segment users by groups, functional areas and hierarchical levels.<\/span><\/li>\n<li class=\"c3 c7 li-bullet-0\"><span class=\"c2\">Perform granular actions according to risk levels.<\/span><\/li>\n<li class=\"c3 c7 li-bullet-0\"><span class=\"c2\">Maintain the continuous improvement awareness plan within the organization in general.<\/span><\/li>\n<\/ul>\n<h2>Closing<\/h2>\n<p>By using a flexible awareness platform, we will have at our disposal many customization options to adapt the campaigns to our organization.
